Privacy Policy
Draft — effective date to be announced.
1. Scope
This Privacy Policy explains how [COMPANY LEGAL NAME], a Delaware corporation (in formation) ("Loadroom") collects, uses and shares personal information through the Loadroom platform and websites (the "Service"). Our customers are businesses (carriers and brokers). When we process information inside a customer's account on that customer's behalf, the customer decides what is collected and why, and we act as their service provider.
2. Information we collect
Account and contact information: name, business e-mail, phone, job role, company name, address, and authentication data (such as two-factor settings).
Business and verification information: legal entity details, USDOT/MC numbers, insurance and authority information, including from public sources.
Customer content: loads, documents (e.g. rate confirmations, bills of lading, proofs of delivery), messages, invoices and settlement data that users enter or upload.
Driver and operations data that customers connect or enter: driver names and contact details, hours-of-service status, vehicle and trailer identifiers, location and temperature readings from connected devices, and status updates sent through messaging channels.
Usage and device information: log data, IP address, browser and device type, pages and actions in the Service, and security signals used to detect fraud and protect accounts.
Payment information is collected and processed by our payment provider; we do not store full card numbers.
3. How we use information
To provide, operate, secure and support the Service; verify accounts and prevent fraud; send service and security communications; process payments; comply with legal obligations; and improve the Service, including through aggregated or de-identified analysis. AI features process customer content to read documents, summarize, and propose actions for users to review. We do not use customer content to train generally available third-party AI models.
4. How we share information
Within the Service, information is shared only with the users and counterparties a customer chooses to work with, through features designed for that purpose.
With service providers who process data for us under contract (for example hosting, security and content delivery, e-mail and messaging, AI processing, payments, mapping), only as needed to provide the Service.
With third-party services a customer connects (such as ELD providers or load boards), as directed by that customer.
When required by law, to protect rights and safety, or in connection with a merger, acquisition or sale of assets. We do not sell personal information and do not share it for cross-context behavioural advertising.
5. Location and telematics
Location and device data is processed to show load status, verify pickups and deliveries and keep delivery records, during the periods and for the vehicles a customer configures.
6. Retention
We keep information for as long as needed to provide the Service and meet legal, tax and regulatory record-keeping obligations, then delete or de-identify it. Customers may request export or deletion of their data, subject to these obligations.
7. Security
We use administrative, technical and physical safeguards, including encryption in transit, access controls, tenant isolation, audit logging and backups. No system is perfectly secure; please report suspected issues to [email protected].
8. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete or obtain a copy of your personal information, and to object to or limit certain processing. If your information is held in a customer's account (for example as a driver), we may refer your request to that customer. Contact [email protected]; we will verify requests and will not discriminate against you for exercising your rights.
9. Cookies
We use cookies and similar technologies that are necessary to sign in, keep sessions secure and remember preferences, and privacy-friendly analytics on our public website. You can control cookies in your browser; blocking necessary cookies may prevent sign-in.
10. Children
The Service is for businesses and is not directed to children under 16. We do not knowingly collect their information.
11. Changes and contact
We will post updates here and notify customers of material changes. Questions: [email protected] · [COMPANY LEGAL NAME], [MAILING ADDRESS].
